Select a date that works for most people. We recommend hosting reunions during Homecoming weekend, which allows guests to take part in complimentary events already happening on campus, including:

• All-alumni reception (21 & up event) prior to the Homecoming football game
• Alumni Athletics Hall of Fame Legends March and on-field induction
• All-alumni end zone seating during the game with food and fun for families
• Alumni campus tour

Choose a venue that accommodates your budget and guest count, ideally a venue with low (or no) venue fee. In general, more affordable ticket prices tend to encourage higher attendance.

Create a budget to guide your reunion spending and help determine ticket prices. Cost considerations include the venue, food-and-beverage minimums, decorations, and more.

Reunion costs are the responsibility of the planning committee. Many groups find it easiest to designate one person to make any necessary purchases on a personal credit card, then use ticket sales to cover those expenses. If ticket revenue doesn’t cover everything, the committee should decide in advance how remaining costs will be handled.

To minimize risk, consider venues without rental fees or food-and-beverage minimums. If ticket sales exceed expenses, surpluses can be donated to the school’s Highlander Fund or set aside to support future reunions.

To keep things simple for attendees (and the planning team), establish an easy way to collect payments through Venmo, PayPal, or another trusted online platform.

Begin planning early and send out a save-the-date as soon as the date is confirmed, even if the venue and ticket details are not yet finalized. This gives guests plenty of time to make travel arrangements and mark their calendars for the big event.

LHP will create and send postcards, e-blasts, and social media posts to promote the reunion. Also, personal outreach—through phone calls, texts, and emails from classmates—makes a big difference. A personal touch goes a long way in encouraging classmates to attend and rekindling those meaningful connections that make reunions so special. The Alumni Office can assist your reunion planning committee with a variety of marketing tools, including:

• Providing a complete class roster, including emails, phone numbers, and addresses
• Create and manage RSVP’s through Google Forms, along with a custom URL and QR code
• Creating and sending postcards and e-blasts
• Designing and printing standard event signage
• Posting to alumni social media channels
• Adding your reunion to the alumni website's schedule of events
